Insurance agency management
Your agency. One connected workspace.
RICO is the system American Pro Insurance runs on: clients, coverage, documents and every conversation, together on the account they belong to.
What RICO does
Built for a commercial insurance agency's day: structured records instead of free-text notes, and one place for the work.
The account at the center
Every policy, quote, application, certificate, document, claim, payment and conversation belongs to the insured it is about, so the whole relationship is on one page.
Quotes, policies and renewals
Structured records for coverages, limits, deductibles, premiums, vehicles, drivers and locations, from first quote through bind, endorsements and renewal.
Documents and certificates
Carrier documents and ACORD forms are read with AI and shown for review before anything is saved. The original file is always kept.
Calls, texts and email
Agency phone lines, text messages and each producer's own mailbox are recorded on the account, so anyone can pick up where the last person left off.
Service and follow-up
Tasks, reminders and automated follow-ups keep renewals, missing documents and client requests from slipping.
Prospecting
Lead intake, campaigns and a calling workspace for new business, with contact rules and opt-outs honoured automatically.
Connecting Google
A producer can connect their own Google account so RICO can work with their email, calendar and the agency's files. Connecting is optional, and it can be removed at any time from RICO or from the Google account.
- Gmail: read messages to file client and carrier email on the right account, and send email the producer writes or approves from RICO.
- Google Calendar: create and update the events RICO schedules, such as appointments and follow-ups.
- Google Drive: store and organise the agency's account documents in the folders RICO manages.
- Google data is used only to provide these features. It is never sold, never used for advertising, and never used to train AI models.
The details are in the Privacy Policy.
Security
Invitation only
There is no public sign-up. Each person is invited by the agency and signs in with their own account, with two-step verification for administrators.
Encrypted credentials
Connection tokens for Google and other services are encrypted before they are stored, and are only ever used on RICO's servers.
History that is kept
Changes to records, payments and accounting entries are written to an audit history rather than overwritten.
People decide
AI suggestions are shown for review. Nothing it reads is saved to a record until a person accepts it.
